The Rental Process

Six Steps from Search to Move-In

Every rental is different, but most follow these steps. Choose a step to see what happens, what you can prepare, and how we can help.

A focused search starts with knowing what matters most to you: where you want to live, what you can comfortably spend, and when you need to move.

What happens

You define your preferred areas, total monthly housing budget, move-in date, lease length, and must-have features, such as bedrooms, parking, a yard, or space for pets.

How we can help

We talk through your priorities, compare Dallas–Fort Worth areas, commutes, and travel times, and help you set a realistic search before you start touring.

What you can prepare

DFW search tips

Check drive times at the hours you’ll actually commute, including toll roads if you’ll use them. Remember that utilities, parking, and pet costs vary by property, so budget for the total monthly cost, not just the advertised rent. Explore areas in our DFW community guides.

Once you know what you’re looking for, compare current listings, confirm what’s actually available, and see the homes that make your shortlist.

What happens

You compare listings, confirm availability and rent with the property’s authorized contact, arrange access, and view the home, in person whenever possible.

How we can help

We help you compare properties side by side, look into availability, coordinate tours and communication, and point out questions to ask during each visit.

Verify before you pay or share personal information. Confirm that the property and the person you’re dealing with are legitimate. Call the property manager or owner using contact details you find independently, and be wary of anyone who asks for money before you can see the home.

What you can prepare

Every landlord and property sets its own requirements. Before you apply, read them closely so you know what will be reviewed and what it will cost.

What happens

You review the property’s written tenant selection criteria, the documents requested, any application fee or deposit, and the instructions for applying.

How we can help

We help you find where a property publishes its requirements and which questions to ask. A conversation with our team is not screening, approval, or a reservation.

Requirements vary. There’s no single credit score, income multiple, deposit amount, or processing time that applies to every Texas rental. Texas law requires a landlord to make its tenant selection criteria available when it provides an application, and if it rejects you without having done so, it must refund your application fee and any application deposit.

Preparation checklist

Rental applications are submitted directly through the landlord, property manager, or their designated application provider. Contact our team if you need help identifying the correct next step for a property.

What happens

The landlord, property manager, or their screening provider gives you the application and secure instructions. You apply directly with them, and each adult applicant usually completes their own application.

How we can help

We help you confirm the correct, authorized place to apply for a specific property. Clever Realtors does not host or accept rental applications through this website.

Know what each payment is for

Common rental payments and what they’re for
PaymentWhat it isConfirm before paying
Application feeCovers processing and screening your applicationAmount, recipient, and whether it’s refundable
Application depositSometimes collected with an applicationHow it’s applied if approved, and when it’s refunded if not
Security depositHeld under the lease against unpaid rent or damageAmount, when it’s due, and how it’s returned
RentPaid under a signed leaseAmount, due date, and accepted payment methods

Confirm each payment’s purpose, recipient, and terms in writing before you pay. Never pay by wire transfer, gift card, or cryptocurrency to someone you haven’t verified.

Applying doesn’t guarantee approval or reserve the home. The landlord or authorized property manager reviews your application and makes the decision.

What happens

If you’re approved, you receive the lease to review and sign. Read every section before signing, including dates, rent, deposits, and other charges.

How we can help

We help you understand the lease terms and the questions to ask before you sign, and we keep communication moving with the property’s contact. Clever Realtors provides real estate guidance; we don’t approve applications.

Review before you sign

About agent compensation

How a real estate agent is paid in a lease transaction depends on the arrangement for that property and any agreement you sign. A landlord or listing broker may offer compensation, but that isn’t always the case. We’ll explain any cost to you before you commit.

Good to know about deposits

Under Texas law, a landlord generally must refund the security deposit, minus itemized deductions, within 30 days after you move out, and you should give the landlord your forwarding address in writing. Keep a copy of your signed lease and all receipts.

With a signed lease, focus on a smooth handoff: utilities on, access confirmed, and the home’s condition documented on day one.

What happens

You set up utilities, confirm access instructions and the agreed possession date, and record the condition of the home when you move in.

How we can help

We help you confirm timing and access with the property’s contact and remind you what to document before you unpack.

Document the condition. Take dated photos and video of every room, and complete any move-in condition or inventory form within the timeframe stated in your lease. Keep copies for when you move out.

Common Questions from Renters

How does Clever Realtors help renters?

We help you plan your search around your priorities, compare homes and their total costs, look into availability, coordinate tours, and understand the steps toward a lease. The landlord or property manager handles applications and approval.

When should I start looking?

Many renters start 30 to 60 days before they want to move, but it depends on your timeline and the market. Starting with your budget, preferred areas, and must-haves will make your search faster whenever you begin.

Are requirements the same for every rental?

No. Each landlord or property sets its own selection criteria, fees, and documents. Texas law requires a landlord to make its tenant selection criteria available when it provides an application, so read them before you apply.

Where do I submit an application?

Directly with the landlord, property manager, or their designated application provider, using the instructions they give you. Clever Realtors does not accept rental applications through this website. If you’re unsure of the right next step for a property, contact us.

Does Clever Realtors approve applications?

No. The landlord or authorized property manager reviews applications and makes the decision. We provide real estate guidance along the way.

Does applying reserve the property?

No. Submitting an application doesn’t guarantee approval or hold the home, and the property may stay available to others until a lease is signed. Under Texas law, an application is generally considered rejected if the landlord doesn’t accept it within seven days after a completed application is submitted.

What costs should I clarify before applying?

Ask about the application fee and who receives it, whether an application deposit is required and how it’s handled, the security deposit, rent, and any other fees, such as pet or utility charges. Get the details in writing before you pay.

What should I review before signing a lease?

Lease dates, rent and due date, late charges, deposits, other fees, which utilities you pay, repair and maintenance responsibilities, pet provisions, and move-in instructions. Ask questions about anything unclear before you sign.

How can I avoid rental scams?

See the home in person when you can, verify the owner or manager using contact details you find independently, and be wary of pressure to pay before a tour. Never pay by wire transfer, gift card, or cryptocurrency. Report suspected scams at ReportFraud.ftc.gov.
